Terms and Conditions

Customer Information
1. Please ensure your child wears old, comfortable clothing and footwear that is suitable for movement games and messy activities, such as painting.
Please ensure your child does not bring any personal belongings.
Pip’s Club is not responsible for the loss or damage of any personal belongings, including clothing and footwear.
This applies to ALL Pip’s Club classes and workshops.
2. As your child’s parent/guardian/carer, it is your responsibility to:
- Declare all medical conditions that your child has during registration, including allergies.
- Ensure that your emergency contact details are up to date.
Please note that Pip’s Club cannot offer one-to-one support.
3. All children attending Pip’s Club Primary Aged Classes must be collected by an adult at the end of each class. Please let the teacher know who will be collecting your child when you drop them off.
4. All children attending Pip’s Club Early Years Classes or Family Events/Workshops must be accompanied and supervised for the duration of the session by a parent/guardian/carer. The parent/guardian/carer is solely responsible for the behaviour, care and safety of their child/children at all times whilst at Pip’s Club. This includes the use of all materials, tools and food substances for play activities.
5. It is the responsibility of the parent/guardian/carer to ensure their child/children does not interact with any material or food substance that may cause an allergic reaction to their child/children. The packaging of products used are available on request to check the ingredients.
6. It is the responsibility of the parent/guardian/carer to ensure their child/children does not consume any of our inedible smaller resources used for play activities as some resources may present a choking hazard.
7. Pip’s Club, staff and volunteers are not responsible for any injury, accident, allergic reaction or illness found to be directly attributed from any product or item provided from any of our sessions.
8. Information for classes and events will be shared through email, ClassforKids and our social media channels.
9. You must refrain from bringing your child to class if they have had any form of illness within 48 hours of the class.
Payment and Fees
10. All fees must be paid upfront at the time of booking via our ClassforKids booking system. This applies to termly blocks and single classes/events/workshops.
11. When booking a block of classes, bookings are made for the whole term, not for part of the term. If your child joins part way through a block, we will charge you a pro-rata fee.
12. Pip’s Club does not accept payment by cash, cheque or PayPal.
Cancellations and Refunds
13. Termly and Block Bookings
- A parent/guardian may cancel their child’s attendance at Pip’s Club within 7 days of booking. If cancellation is within this period and the new term has not begun prior to cancellation, the parent/guardian will receive a full refund. If cancellation is within this period and the new term has begun, we will still refund the parent/guardian, but we will deduct from the refund the value of the sessions delivered by Pip’s Club prior to cancellation and a 10% admin fee. No refunds will be given for any subsequent cancellations after this initial 7 day period. The cancellation must be made in writing by emailing pip@pipsclub.co.uk
- Pip’s Club does not issue refunds or catch-up classes for missed sessions due to your own circumstances.
- If we, the club, have to cancel a class due to staff sickness, health epidemics, bad weather, venue maintenance issues or any other unforeseen circumstances, no refunds can be issued but a catch-up class will be arranged. Please note catch-up classes may need to take place at a different date/day, time and venue. We will email you with the details.
- Payments will be returned if a class must be cancelled due to minimum numbers not being achieved.
14. Single Classes/Events/Workshops
- Payments are non-refundable at the point of booking.
- If we, the club, have to cancel a single class/event/workshop due to staff sickness, health epidemics, bad weather, venue maintenance issues or any other unforeseen circumstances, we will reschedule the session. Please note rescheduled sessions may need to take place at a different date/day, time and venue. We will email you with the details.
- Payments will be returned if a single class/event/workshop must be cancelled due to minimum numbers not being achieved.
Behaviour and Participation
15. Pip’s Club promotes a ‘kind hands, kind feet and kind words’ ethos in all of our sessions. This is to ensure the safety and enjoyment of all children, staff, volunteers and parents/guardians attending Pip’s Club.
16. Pip’s Club reserves the right to remove from our programme, without refund, anyone who is found to be displaying abusive, disruptive or inappropriate behaviour towards children, staff, volunteers and any other facility users.
Feedback and Complaints
17. We take all feedback and complaints very seriously. If you have any concerns you can firstly speak to Pippa at Pip’s Club.
18. If you wish to make a complaint and have your complaint addressed, it must be made in writing to: pip@pipsclub.co.uk
19. We will look at your complaint and aim to get back to you with an initial response within 5 working days.
20. We aim to fully resolve your complaint within 10 working days from the date of our initial response. However, it may take longer depending on the issue you have raised.
21. We take complaints on a case by case basis and will discuss specific timescales with you if we cannot resolve this within 10 working days from the date of our initial response.
Governing Law and Jurisdiction
22. These terms and conditions and any booking shall be governed by, and construed in accordance with, the laws of Scotland and each party irrevocably agrees that the courts of Scotland shall have exclusive jurisdiction to settle any dispute or claim (including non-contractual disputes or claims) arising out of or in connection with these Terms and Conditions or any booking.
